What to check before you pay

The category is small enough that criteria beat brand names. Before any trial, check:

  • IFTA support: does it track miles by jurisdiction and fuel by state, and does it produce the numbers your quarterly return needs, or just a report you re-type?
  • Pricing basis: per truck, per user, or per plan tier, and what happens to the price when truck two and three show up.
  • Contract terms: month-to-month versus annual commitment, and whether the trial requires a credit card.
  • The workflow it replaces: dispatch and invoicing, bookkeeping and cost per mile, or both. Buying both halves in one tool only helps if you will use both halves.
  • Data exit: whether you can export your loads, customers, and expense history if you leave.

Do you need software at all?

With one truck, a disciplined spreadsheet and a folder of fuel receipts can carry you surprisingly far, and the quarterly return is entirely doable by hand: the walkthrough is in file IFTA yourself instead, with the underlying tax numbers in IFTA rates by state. Software starts paying for itself when invoices, settlements, and mileage-by-state stop fitting in your head, which for most carriers happens somewhere in the first months under a new authority.
